# With the advent of VoIP desktop and video conferencing has become the most common and accepted way of bringing two parties together to exchange ideas and transfer data at a relatively low cost. However, there are many organisations, institutions and even end users who have not yet discovered the wonders of VoIP and how it can lessen your communication costs.


Firstly, an effective transmission channel must be established, some form of communication needs to be established between the two video conferencing parties. Of course, VoIP would be the ideal and most logical choice to establish a communication link these days. If not, ISDN would be the next logical communication link to setup. And lastly, if you have not heard of ISDN or VoIP then without a doubt you will have heard of (POTS), plain old telephone system. Whichever form of communication you choose to use to setup your video conference arena, each will have its own drawbacks and ways to setup the hardware and software.

Each communications method will require that the users have a Personal Computer (PC) or Apple Macintosh (MAC). Most modern computers from the year 2000 onward will be able to handle most new technology. In saying that, it would be in your best interests to upgrade for maximum work efficiency if your computer is a bit outdated. If you intend running your video conferencing setup on a standard landline, then an internal or external modem will be required as your communication link. An ISDN modem will have to be purchased if your communication lines are ISDN based - normal landline modems do not share the same receive and transfer protocol and internal workings as a ISDN modem does. VoIP is network based and will only run through a LAN (local are network) setup.

With a room based video conferencing setup a ‘set-top’ camera is required. There are many video conferencing cameras available that will meet the needs of any meeting room, auditorium, large or small boardroom. In the case of desktop video conferencing a webcam can be mounted above your personal computer. Most desktop video conferencing hardware come bundled with a video and audio capture card, a colour video camera, microphone and video conferencing software. For basic end user use a sound card, microphone headset and a webcam will do the job just as well as some of the high end products available on the market.

Video conference software like Hot Conference is required to be setup in conjunction with the hardware. The software and hardware work together to produce the whole video conferencing arena – audio and visual data is processed in a seamless fashion, if the correct hardware and software settings are applied. With Hot Conference, sharing and dissemination of information is an absolute breeze. Audio and Video are used to interact on one-to-one basis and aids such as text chat and whiteboard facilities allow for a more collaborative working environment. Whiteboard and text chat facilities are often overlooked in the whole video conferencing experience. Non-verbal gestures and signals are easily incorporated to facilitate the conversation process with the whiteboard function - as well as directing help on a synchronised desktop screen. Text chat can be included to suggest a simple “Yes”, or “ I agree” from the party who is not speaking at the time – showing acknowledgement during the conversation.

Whatever your video conference arena might be, room based or desktop, certain hardware and software will have to be implemented to achieve the desired goal. Within the room based or desktop video conference arena your setup strategy will also have to include whether or not your link is to be point-to-point (site-to-site) or a multi-point (multi-site) link of communication. And lastly, whether you can get by using a plain old telephone line ISDN or VoIP transmission channel.
