Oral communication is such a vital part of our daily lives, not only in the business sector but everyday day life too. Maintaining the correct speaking and etiquette is no longer just restricted to face-to face encounters, or telephone conversations as in the past. Today with the new breed of communications, both visual and oral communication skills need to be developed.
When speaking, we use our voices to convey intentions, viewpoints or emotions to other people. The dynamics of video conference technology has also brought the visual aspect into play. Our manner of speaking and physical presence will indicate how self disciplined we are, as well as how cultured or civilised we are. How we use our communication skills both through oral and physical presence will determine how other participants in a video conference session will react to your message. We should therefore pay special attention to the way we speak, the way we dress and what type of body language we use during a video conference session.
A relaxed voice, good eye contact and a pleasant demeanour will ensure that members of the conference session are at ease. Maintaining solid eye contact with the camera will let the other participants feel as if you are directly communication with them. There is no need to feel nervous if you are the speaker. Become familiar with the video conference setup at your disposal, remember that your audience came specifically to listen to you, or to learn from you; they are probably in a relaxed mood and certainly have no ill-will towards you.
Because video conference technology has the ability to bring learners, business associates and friends together from all corners of the globe, without actually leaving your location, it is vital that they all be made to feel part of the discussion. The moderator must address individuals or groups at specific locations this can be controlled by using a basic participant map. Conversing through a camera may be a bit strange and participants may get distracted, so addressing them every so on will keep them feeling part of the video conference.
Certain restrictions in the audio and video transmissions may prevent conversations and gestures to be broadcasted smoothly. Keeping sentences simple and to the point will make sure no relevant information is lost in the transmission. The pitch of your voice should neither be too high or too low. As with pitch, the volume of a person’s voice is absolutely critical. Make sure that prior to a video conference session you have tested the equipment, making sure that microphone and speaker volumes are set to adequately transmit and receive the speakers message. Remember to vary the pitch and volume of your voice to keep the message from being mono-toned. Move and gesture as you would normally, but do avoid rapid or continual swaying movements – compressed video will have trouble transmitting these movements and visual quality will diminish. If you are a speaker that likes to move around or your presentation requires that you move, make sure you have marked off the peripheral view of the camera so as to stay in ‘shot’ at all times.
Make sure that you maintain a good camera position when in a video conference session. An ideal position to maintain is – with arms stretched out, the side of the screen should fall between your elbows and wrists. Close up shots, in essence will enhance the spoken word and help convey that powerful message. Sometimes the end point conducting the video conference may comprise a few more individuals or even a group. Setting the camera with a few preset group shots or use the ‘pan’ facility to highlight main members is a good idea to capture the mood of the session.
Once you get to grips with video conference technology, you might discover that various other options like, setting the background and lighting to enhance the mood or topic will certainly help to communicate the right feel and keep everyone motivated and enthusiastic while the session is in progress. Some speakers have even resorted to make-up artists to enhance their on camera appearance, indicating that video conference technology is becoming serious business and that speakers are realising that they must portray themselves in the best possible way.
